Timesheets
Go to: HR → Shift & Attendance → Timesheet
Projects uses the shared HR Timesheet screen. A timesheet belongs to one employee and one date and contains one or more activity rows.
Create a daily timesheet
Open a new timesheet
Go to HR → Shift & Attendance → Timesheet and click Create Timesheet. Employees can also use Employee Portal → Timesheets → New.
Enter the header
Select the required Employee and Date. Optionally select a header Project to restrict all rows to that project.
Add activity rows
For each block of work, select Activity Type, From Time, Hours, Project, Task, and Billable as needed. Add a Description when context will help the approver.
Review totals and notes
Check Total Hours and Total Billable Hours, then add overall Notes.
Save or submit
Save as Draft while still editing. Submit when the day is ready for review.
Fields
| Level | Field | Rules and use |
|---|---|---|
| Header | Employee | Required |
| Project | Optional constraint; every row must match it | |
| Date | Required; one timesheet per employee per day | |
| Total Hours | Calculated from activity rows | |
| Total Billable Hours | Calculated from billable rows | |
| Notes | Overall note for the day | |
| Activity | Activity Type | Required active Activity Type |
| From Time | Required start time | |
| Hours | Required, greater than 0 and no more than 24 | |
| Billable | Marks customer-billable time | |
| Project | Optional unless the header Project constrains it | |
| Task | Optional; must be assigned to this employee’s linked user | |
| Description | Optional detail for the row |
Selecting a project filters task choices. Selecting a task with a project can fill the row Project. Cancelled projects are not offered for new selection, but remain visible on historical entries.
Activity choices and default hourly rates are maintained under Setup → Activity Type.
Approval workflow
A timesheet starts as Draft. Submit it when it is ready for review. The reviewer can approve it, reject it with a reason, or request a revision. When a revision is requested, correct the timesheet and submit it again.
| Status | What happens |
|---|---|
| Draft | Creator can continue editing |
| Submitted | Waiting for an authorized reviewer |
| Approved | Review completed and time finalized |
| Rejected | Reviewer rejected it and records a rejection note |
| Revision | Reviewer sends it back with a required revision note |
Timesheets are daily records, not date-range sheets. To record work on multiple days, create one timesheet for each date.
Start from a project or task
The project Connections tab can open Timesheets with the project prefilled. A task can also deep-link to a new timesheet with both project and task filled where supported. Always confirm the Employee because task selection is limited by assignment.
Troubleshooting
| Problem | Check |
|---|---|
| Task is missing | Assign the task to the employee’s linked user; check project and task status |
| Project changes back | The selected task belongs to another project and drives the row project |
| Cannot mix projects | Clear the header Project or keep every activity in that project |
| Hours rejected | Each row must be over 0 and at most 24 |
| Duplicate day blocked | The employee already has a non-deleted timesheet for that date |
Use the Timesheet Summary and Employee Activity reports to review recorded time across employees, projects, and tasks.
