Project Team
Go to: Projects → Setup → Project Teams
Project Team has two parts: an organization-wide hierarchy of people and groups (this page’s setup screen), and assigning members from that hierarchy to an individual project’s Project Team tab. Both are covered below.
A Project Teams record is a Team Member — an individual person — or a group that contains other Team Members. Groups and members share one hierarchy, so you can model departments, squads, or delivery pods once and reuse them across every project.
How it fits together
Every organization has a single hidden root node. It is created automatically and cannot be edited or deleted. Leaving Parent Team empty attaches a record to that root.
Who can be a Project Team member
Only active users holding the Project Manager, Project Officer, or Admin role can be linked, and a user can be linked to only one Project Team record. If someone is missing from the picker, grant them one of those roles first — see Roles.
A member (non-group) record must have a linked user. Groups may be left unlinked.
Creating a Project Team record
Open the screen
Go to Projects → Setup → Project Teams and click Add Project Team.
Name the record
Enter Member Name — required, at least 2 characters, and unique within the organization.
Choose the parent
Leave Parent Team empty to sit directly under the root, or pick an existing group.
Choose the type
Turn on Is Group if this record will contain other Team Members; leave it off for an individual, which makes User required.
Link the user
For an individual, select the ERPX User. Only active users with the Project Manager, Project Officer, or Admin role appear, and each can be linked to only one record.
Set contact details and status
Email, Mobile No, and Phone are optional. Turn on Is Active so the record is available for project assignment.
Save
Click Create Team Member (Update Team Member when editing).
You can also add a child straight from a group’s Tree View using Add Child Project Team, which pre-fills the parent.
Fields

Views

Switch between them from the list page’s View menu, or open Team Chart directly. Opening a group’s own record also offers a My Team shortcut to jump straight to its branch of the tree.
Editing, moving, and deleting
Open a record and use Edit Team Member. Its Hierarchy tab (edit mode only) shows the record’s path, type, status, child count, and its direct children, with a link to add another child from the Tree View.
A team cannot be its own parent or move under one of its own descendants. Is Group cannot be turned off while children exist. A record with children cannot be deleted, and the root node can never be modified or deleted.
Permissions
Managing the hierarchy and assigning a team to a project use separate capabilities:
- View / Modify / Delete Project Teams — see, create or edit, or delete records in the Project Teams hierarchy itself.
- Assign Project — add or remove members on an individual project’s Project Team tab.
A user can hold either without the other — for example, a project manager might assign existing team members to their projects without being able to edit the hierarchy itself.
Assigning a team to a project
Go to: Projects → Project → open a project → Project Team tab
Each project has a Project Team tab (the last tab on the project record) showing everyone currently assigned. Assigning here is separate from managing the hierarchy above — the project just picks members and groups out of it.
Open the tab
Open a project and select the Project Team tab. It shows the people currently assigned, or “This project is unassigned” if no one is yet.
Manage members
Click Manage Members to open Assign Project Team.
Select members and groups
Search by name, email, role, or hierarchy position, then tick the people and/or groups to assign. Use Select all to grab everyone in view.
Save
Click Assign.
Assigning replaces the whole team, not adds to it. Whatever is ticked when you click Assign becomes the complete membership — anyone left unticked is removed. Selecting a group also selects its active descendants; each selected person and group row is assigned individually.
Remove one person later with the row’s Remove action; ERPX asks you to confirm (“Remove [name] from the Project Team?”).
Completed and Cancelled projects have a read-only Project Team — reopen the project to change its membership.
What team assignment affects
- Visibility — a user sees a project if they created it, or they (or someone they manage) is an active team member — unless their role holds View All Projects.
- Notifications — every newly added member is notified, including group members who have no linked user.
- Reports and exports — the project’s Download PDF and Gantt/planning views list its Project Team alongside each task’s own Assigned To.
