Setup & Masters

Set up the small reusable lists first. They keep project and timesheet entry consistent and power automation such as linked-document completion.

Project Types organize projects, Task Types organize tasks, and Activity Types organize timesheet work. Task and Project Templates are optional and are useful when the same kind of work is repeated.

Setup map

StepMasterWhy
1Project TypeClassifies projects and project templates
2Task TypeClassifies tasks and can connect them to another document type
3Activity TypeSupplies consistent time categories and default hourly rates
4Task TemplateDefines reusable task content and relative timing
5Project TemplateCollects task templates in the order they should be created
6Project TeamsBuilds the hierarchy of people and groups available for project assignment

Project Type

Go to: Settings → Lookup → Project Types

Project Type is a lookup value shown on Project and Project Template forms. Add the project categories your organization uses, such as Implementation, Internal, Customer Delivery, or Research.

Project Type is optional on both projects and templates. Keep the list short enough to be useful for filtering.

Task Type

Go to: Projects → Task Type

Create the type

Open Task Type, click Create Task Type, and enter a unique Task Type Name.

Add optional document automation

Select a Document Type if this kind of task should point to a business document. Then select its Completion Status.

Finish the record

Enter a Description, choose whether the type is active, and click Create Task Type.

FieldMeaning
Task Type NameThe category users select on a task
Document TypeOptional document family that can be linked from tasks of this type
Completion StatusThe linked document status that can automatically complete the task
Auto CompleteEnables completion from the linked document status
Is ActiveControls whether the type remains available for new tasks
DescriptionGuidance for when to use the type

You can view, edit, duplicate, or delete a Task Type from its record or list actions. Inactive types are retained on old tasks but should not be used for new work.

Activity Type

Go to: Projects → Activity Type

Activity Types are the selectable work categories inside a timesheet activity row.

FieldMeaning
Activity Type NameUnique activity name, for example Design or Testing
Default Costing Rate (per hour)Default internal hourly cost
Default Billing Rate (per hour)Default customer hourly rate
Is ActiveShows or hides the type for new entries
DescriptionExplains what work belongs in the category

Activity rates are setup defaults. The current project costing panel is based on connected expenses, purchase invoices, material consumption, sales orders, and sales invoices; it does not present timesheet rate totals as its project actual cost.

Create a task template

Go to: Projects → Task → New

  1. Enter the task Subject.
  2. Turn on Task Template. The Project field is hidden for templates.
  3. Select a Task Type and Priority if needed.
  4. Set Begin On Days and Duration (Days). Template scheduling is relative to the future project start.
  5. Add Task Weight, description, and dependencies as needed.
  6. Save. A task template is saved as Open and is not part of a live project.

Project Templates use these task-template records. See Projects → Project Templates.
