General Setup

General Setup defines your company structure and the calendar rules HR depends on: the current HR year, holidays, departments, job titles, branches, and employee groups.
1. HR Period
Go to: HR → Setup → General → HR Period
An HR Period is your leave/benefits year (for example, Jan–Dec 2026). Leave policy assignments, allocations, and some benefit calculations use the current period.
| Field | What it means |
|---|---|
| From Date / To Date | Start and end of this HR year |
| Is Current | Marks the active period used by leave and related features |
Status: Draft → Approved (Active) → Cancelled (Inactive)
Create the period
Open HR Period → New, set the date range, and mark Is Current if this is the live year.
Approve it
Save as Draft, then Approve so other screens can use it.
Keep only one period marked Is Current. Wrong current period often causes incorrect leave or benefit period logic.
2. Holiday List
Go to: HR → Setup → General → Holiday List
A Holiday List is a named calendar of non-working days (weekends, national holidays, company holidays).
| Field | What it means |
|---|---|
| Name | e.g. Pakistan 2026, Factory A Holidays |
| From / To Date | Validity of the list |
| Holidays (child rows) | Each date with description and type (weekend / national / custom) |
Status: Draft → Active → Inactive
Each Employee is linked to one Holiday List. Attendance and payroll working-day logic use that list.
Assign the correct Holiday List on the employee record. The wrong list can mark working days as off (or the reverse) and affect overtime.
3. Department
Go to: HR → Setup → General → Department
Departments organize people into teams (Sales, Finance, Production, HR). Departments can be nested (parent / child).
| Field | What it means |
|---|---|
| Name | Department name |
| Is Group | Whether this is a parent/group node |
| Parent Department | Optional parent for hierarchy |
Status: Draft → Approved → Inactive
Used on employee records, org chart display, complaints, and report filters.
4. Designation
Go to: HR → Setup → General → Designation
Designations are job titles (Manager, Officer, Operator).
| Field | What it means |
|---|---|
| Title | Job title shown on employee and org chart |
| Description | Optional notes |
| Employee Levels | Optional allowed levels for this title |
Status: Draft → Approved → Inactive
If a designation restricts employee levels, the employee’s level must be one of the allowed values or the employee record will not save.
5. Branch
Go to: HR → Setup → General → Branch
Branches are work locations / sites (head office, factory, warehouse).
| Field | What it means |
|---|---|
| Branch Name | Location name |
| Code | Short code |
| Address / City / Country / Phone | Location details |
Status: Draft → Approved → Inactive
Assigned on the employee record and shown on the organization chart.
6. Employee Group
Go to: HR → Setup → General → Employee Group
Employee Groups are named cohorts of employees (for example, Night Shift Team or Sales North). Useful for complaints “against group” and bulk targeting.
| Field | What it means |
|---|---|
| Name | Group name |
| Group Type | Required. What the group is used for — Attendance & Shift, Payroll, Leave, Benefits, or Performance. Values are maintained in HR Masters → Employee Group Types |
| Members | Employees included in the group |
Members can be added one at a time, or in bulk with Fetch All Employees. The Department, Designation, Level, and Branch filters above the table are multi-select: leaving one empty matches everyone, and picking values in more than one filter narrows to employees matching all of them.
Status: Draft → Active → Inactive
