Contacts

A contact is a named person with ways to reach them. Where a lead is a sales record with a status and a follow-up date, a contact is an address-book entry: who they are, their job title, and every email, phone number, and WeChat ID they use.
Contacts attach to a parent record, so one screen serves the whole business:

Contacts are created for you
Every lead automatically gets a contact. When a lead is saved, ERPX creates a linked contact carrying its name, salutation, gender, company, email, and mobile — with that email and phone flagged as primary. Editing the lead updates the contact; deleting the lead deletes it.
Most of your contact list therefore appears without anyone typing it. You create contacts by hand for the additional people — the second buyer, the technical evaluator, the finance approver.
Fields

Parent Type and Parent go together — supplying one without the other is rejected. Leave both empty for a standalone contact.
Contact details
The Details tab holds one row per way of reaching the person: Email, Phone, WeChat Number, and the Primary Email / Primary Phone ticks.
Rules the form enforces:
- At most one primary email and one primary phone per contact.
- A row ticked as primary must actually contain that value.
- Contact emails share the global uniqueness rule with leads and prospects.
Contact statuses
| Status | What it means |
|---|---|
| Open | Contact recorded, no reply yet |
| Replied | They have responded |
| Converted | Their lead became a customer |
| Closed | No longer active. Can be reopened |
Converted cannot be set by hand — it is applied automatically when the parent lead is converted. Once a contact is converted, its status cannot be changed at all.
Creating a contact
Open the form
Go to CRM → Contacts and click New.
Enter the person
Fill First name (required), plus salutation, middle and last name, gender, and designation.
Link the parent
Set Parent Type and choose the specific lead, customer, supplier, or prospect. A Select Lead picker is available, filterable by lead status.
Add contact details
On the Details tab, add a row per email or phone, and tick the primary email and primary phone.
Save
The record also carries Comments, Activity, and Attachments tabs. The list can be filtered by status, parent type, parent record, and free-text search.
Everyday tips
- Don’t recreate lead contacts by hand — they already exist. Search first.
- Set the primary email and phone deliberately; that is what other screens reach for.
- Fill in Designation. Knowing who is the buyer and who is the approver is half of qualification.
