Payment Reconciliation

Go to: Financials → Payment → Payment Reconciliation

Use Payment Reconciliation when a completed payment, advance, credit note, or debit note exists but is not allocated to the correct invoice.

Reconcile a payment

Select the party

Choose Party Type, Party, and Account. Use the same party and receivable or payable account as the payment and invoice.

Get entries

Fetch the available payments and outstanding invoices. Adjust the available filters when the expected document is not shown.

Select documents

Choose the payment or credit and the invoice it should settle. Confirm document numbers, dates, currency, and available amounts.

Enter allocations

Enter the amount to apply to each invoice. Do not allocate more than the payment’s available amount or the invoice’s outstanding amount.

Review

Confirm that the allocation reflects the actual remittance or agreement. Check the remaining payment and invoice balances.

Commit

Confirm the reconciliation. Open the invoice or party ledger to verify its new outstanding amount.

Reconcile only documents for the same real party relationship. A similar amount or date is not enough evidence that a payment belongs to an invoice.

If an entry is missing

  • Confirm the Payment Entry is Completed
  • Confirm the invoice is approved and still has an outstanding amount
  • Check that Party Type, Party, account, and currency match
  • Remove filters that may hide the posting date or document
  • Check Payment Reconciliation History to see whether the amount was already allocated

Reconciliation changes allocations and outstanding amounts. It does not create a second Cash or Bank movement.
