Payroll Reports
Go to: HR → Reports → Payroll
All five read the same generated salary slips, cut differently: by employee, by department, by component, and by tax.
| Report | What it shows |
|---|---|
| Salary Sheet | The period payout sheet, one row per employee |
| Department Wise Salary Sheet | The same sheet, grouped and subtotalled by department |
| Salary Register | Detailed register with every earning and deduction line |
| Salary Component Report | Totals per component with a monthly breakdown |
| Employee Tax Ledger | Employee-wise tax with the slips behind it |
Every report here reads generated salary slips. A payroll entry that is approved but whose slips have not been generated contributes nothing. If a period looks too cheap, check Payroll before you question the report.
1. Salary Sheet
Go to: HR → Reports → Payroll → Salary Sheet
Report columns
| Column | Meaning |
|---|---|
| Sr. No. | Row number |
| Code/Name | Employee identity |
| Department/Designation | Placement |
| Work Days | Days paid for in the period |
| Total Gross Earned | Sum of earning components |
| Total Deductions | Sum of deduction components |
| Net Salary | Gross earned less deductions |
| Status | Draft / Unpaid / Paid / Cancelled |
| Signature | Blank column for a physical payout sheet |
The header carries period context: Total Employees, Calendar Days, Working Days, and Holidays.
Use it for: the finance payout pack and the physical sign-off sheet. The Signature column exists specifically for printed distribution.
2. Department Wise Salary Sheet
Go to: HR → Reports → Payroll → Department Wise Salary Sheet
Identical columns to the Salary Sheet, grouped by department with a subtotal per department.
Use it for: cost allocation, departmental budget review, and giving a manager only their own team’s numbers.
3. Salary Register
Go to: HR → Reports → Payroll → Salary Register
The full detail behind the sheet: every earning and deduction component as its own line, per employee, with Income Tax and Fixed Tax broken out separately.
Lines are typed as Earning or Deduction, and slips carry status Draft, Unpaid, Paid, or Cancelled.
Use it for: answering “what makes up this person’s pay?” and reconciling payroll to the General Ledger line by line.
4. Salary Component Report
Go to: HR → Reports → Payroll → Salary Component Report
Flips the register around: instead of per employee, totals per component, with a monthly breakdown across the period and employee counts.
Report columns
| Column | Meaning |
|---|---|
| Salary Slip | The slip contributing the amount |
| Period | Which month the amount falls in |
| Amount | Component amount for that slip and period |
Exports to both CSV and PDF.
Use it for: cost-structure analysis: which components are growing, how much overtime or allowance actually costs across the year, and how many people receive each component.
5. Employee Tax Ledger
Go to: HR → Reports → Payroll → Employee Tax Ledger
Employee-wise tax, with each contributing salary slip listed.
Report columns
| Column | Meaning |
|---|---|
| Sr. No. | Row number |
| Salary Slip | The slip the tax was deducted on |
| Posting Date | When the slip was posted |
| From Date / To Date | The pay period the slip covers |
| Branch | Branch the employee belongs to |
| Gross Salary | Gross before deductions |
| Income Tax | Tax deducted on that slip |
| Net Salary | Take-home after all deductions |
The export adds Department, Designation, and separates Income Tax from Fixed Tax, with a Grand Total row.
Use it for: employee tax queries, year-end tax certificates, and reconciling deducted tax against the tax liability account.
Tax follows the Income Tax Slab on the employee’s salary structure assignment. If a figure looks wrong, check the slab on the assignment before the slip. See Payroll Setup.
