Shift & Attendance Reports

Go to: HR → Reports → Shifts & Attendance

Four reports over the same attendance data: one detailed daily view, two monthly calendars, and one shift-wise listing.

1. Attendance/Check-ins Report

Go to: HR → Reports → Shifts & Attendance → Attendance/Check-ins Report

The most detailed attendance view in ERPX, and the one to open when a number is disputed. Every column of the overtime calculation is exposed, in order.

Report columns

ColumnMeaning
Date / DayThe attendance date and weekday
EmployeeWho. Unmatched punches show as Unknown Employee
StatusPresent / Absent / Half Day / Half Leave / On Leave / Unmarked
First In / Last OutEarliest and latest punch for the day
Shift HoursScheduled hours from the shift type
Break AllowedBreak minutes the shift type permits
Break TakenBreak minutes actually taken
Expected HoursWhat the employee was expected to work
Hours WorkedWhat the punches actually add up to
Overtime ToleranceGrace applied before overtime starts accruing
Calculated OvertimeOvertime the rules produced
Final OvertimeCalculated overtime after any manual override
Short HoursShortfall against expected hours

Calculated Overtime and Final Overtime differing is not a bug. It means someone entered a manual override on the attendance record. Payroll pays Final Overtime.

Filters: date range, employee, department, source (Manual, Barcode, Scheduler), checkout status, and numeric filters on time balance, overtime, and short hours with comparison operators.

Employees with no shift assignment for the day show as Not Assigned.

When a day looks wrong

  1. Confirm the employee had an active shift assignment covering that date.
  2. Check First In / Last Out. A missing check-out leaves the day incomplete.
  3. Compare Hours Worked against Expected Hours and Break Taken.
  4. Check whether Final Overtime was manually overridden.
  5. Open Employee Check-ins to see the raw punches.

2. Monthly Attendance Sheet

Go to: HR → Reports → Shifts & Attendance → Monthly Attendance Sheet

A month-at-a-glance calendar: employees down the side, days across the top, status in each cell.

Filters: month and year, employees, departments, designations.

Row totals

Each employee row totals Total Present, Total Absent, Total Half Day, Total Half Leave, Total Leave, Unmarked, Total Late, Total Early Exit, and Total Hours.

Unmarked is not Absent. Unmarked means no attendance record exists for that employee and day, usually a missing punch or a lapsed shift assignment. Clear unmarked days before using this sheet for payroll, or you will pay against an incomplete month.

Use it for: the pre-payroll review and supervisor sign-off. Employees under No Department / No Designation are grouped separately, which makes missing master data obvious.

3. Monthly Overtime Report

Go to: HR → Reports → Shifts & Attendance → Monthly Overtime Report

The same calendar shape as the attendance sheet, but each cell carries overtime and short hours instead of a status. Rows total Total Overtime Hours and Total Short Hours.

Filters: month and year, employees, departments, designations.

Use it for: overtime cost control, spotting the individuals driving a month’s overtime bill, and settling OT disputes before payroll rather than after.

4. Employee Shift Report

Go to: HR → Reports → Shifts & Attendance → Employee Shift Report

Report columns

ColumnMeaning
Sr No. / CodeRow number and employee code
EmployeeName
Department / DesignationPlacement
ShiftAssigned shift type
Shift TimeThe shift’s start and end times
StatusAttendance status for the record

Use it for: confirming who is actually on which shift, and checking that a shift-pattern change took effect across a team.

Attendance rows exist only where a shift assignment covered the date. If a team is missing from this report, check Shift Assignment before assuming an attendance problem.
