Stock Transfer
Go to: Inventory → Stock Transfer
A Stock Transfer moves quantity from one warehouse to another in a single document. Both sides — the outward from the source and the inward to the destination — are posted together, so the two warehouses can never disagree.
A transfer moves quantity and value between locations. It does not change the item’s valuation rate, because the weighted-average rate in ERPX is global per item across all warehouses. Total stock value before and after a transfer is identical. See Stock Valuation.

Creating a transfer
Open Stock Transfer
Navigate to Inventory → Stock Transfer and click New.
Set source and destination
Both must be leaf warehouses — group warehouses are filtered out — and they must be different.
Set the posting date
Choose the date the stock physically moved. This date is fixed once approved.
Add the item rows
Item, UOM, and quantity. Batches and serials are selected as on any outward document.
Plan the packing, if the stock is packed
If the item has physical packings in the source warehouse, the Packing Consumption panel opens. See below.
Save, then approve
Only on Approve does stock leave the source and arrive at the destination.
Moving packed stock
If you use Packing, a transfer has to answer an extra question: does the packing travel with the stock, or is the stock unpacked first?
Open Packing Consumption on the row to plan this. The panel shows the row’s stock split three ways:
| Figure | Meaning |
|---|---|
| Total Stock | All stock of that item in the source warehouse at the posting date |
| Packed | The part that sits inside approved packings |
| Unpacked | The loose remainder |
| Transfer Qty | What this row is moving |
Then choose a priority:
| Option | Behaviour |
|---|---|
| Transfer packed items first (checked) | Packed stock is consumed first. Checked packings move as-is to the destination — the carton travels intact. Any quantity not covered by packed stock or a new packing arrives unpacked |
| Unchecked (default) | Unpacked stock is consumed first. Any checked packings are removed from packing and their contents arrive loose at the destination |
The packing table lists each candidate packing with its batch, packing date, packed quantity, availability, and the resulting Outcome so you can see what will happen before you approve.
Taking stock out of a warehouse must never leave more packed than in stock on any date from the transfer onward — packed pieces can only leave through their packings. ERPX checks this invariant on approval and blocks the transfer if the plan would violate it. Adjust the packing plan rather than the quantity.
Cancelling or unapproving a transfer reverses the packing effects too: moved packings return to the source warehouse with their original posting date, and detached child packings are re-linked to their parent.
Validations you will meet
| Message / behaviour | Why |
|---|---|
| Insufficient stock at the source | The source warehouse does not hold the quantity as at the posting date |
| Would push stock negative before the next receipt | A later balance would go negative |
| Source equals destination | A transfer must move stock somewhere else |
| Group warehouse missing from the dropdown | Group warehouses cannot hold stock |
| Packed-stock invariant failure | The packing plan would leave more packed than in stock |
| “Posting date cannot be changed for this stock entry type” | Transfer dates are fixed once posted |
What approval does
Correcting a transfer
| Problem | Fix |
|---|---|
| Wrong quantity or warehouse, still Draft | Edit the document |
| Wrong quantity or warehouse, Approved | Cancel or unapprove it, then post a fresh transfer |
| Only part of the stock actually moved | Cancel and re-post with the correct quantity |
Because the posting date cannot change after approval, a transfer dated wrongly must be cancelled and re-entered.
Tips
- Transfer, do not Issue-then-Receive. One document, one audit trail, and the value stays intact.
- Decide the packing priority deliberately. “Transfer packed items first” is right for moving finished cartons; unchecked is right when you are breaking bulk.
- For serial-tracked items, the transfer updates each unit’s current warehouse — so the Serial Wise Item Ledger always shows where a unit is.
- Assign transfers to the store keeper who will physically do the move; the Inventory overview’s To Do tile then shows it on their list.
